Double HQ File Management - Renaming/Filing
Current process
Files are uploaded to Double HQ by both firm staff and clients. When a client uploads a document, it lands in the Client Uploads Inbox, where Double scans it and either holds it there or moves it into a Transaction.
The problem
After scanning, the file keeps its original auto-generated name — something like mobile-upload-2026-07-[random characters]-[timestamp]-[random characters] — instead of being renamed to a usable convention. Once the transaction is posted, that same messily-named file simply relocates to Auto Organized Files > Transactions, so the clutter never actually gets resolved.
What I'd like instead
Auto-rename during scan and post: Use the scanned data plus whatever the accountant enters in the transaction to rename the file to a standard convention — YYYY-MM-DD_Vendor-or-Customer_$XXX.XX_PaymentAccount
Option to file by VENDOR/CUSTOMER: Instead of everything dumping into the general Transactions folder, let auto-filed documents route into vendor/customer-specific folders
Searchability for both firm and client: Files should be searchable by Date, Name, Amount, and Payment Account
Minimum viable fix: Even without vendor/customer folders, proper naming alone would make the existing Transactions folder searchable — that's the floor, not the ceiling
Why this matters
Other receipt-management tools — including Hubdoc — handle auto-renaming with user-defined parameters as a baseline feature. Double currently has no renaming or vendor/customer filing at all, which means a significant amount of manual time spent renaming and re-filing documents that the software should be organizing automatically.
