Cross-Client W-9 Visibility & Management

Problem:
Currently, W-9s are stored separately within each client's file. This leads to duplicate requests when the same vendor works with multiple clients, creating inefficiency and potentially annoying vendors.
Proposed Solution:
A centralized vendor database that shows if a W-9 already exists for a vendor across all clients
Ability to copy/share W-9s between clients for the same vendor
Warning notification before sending duplicate W-9 requests
Benefits:
Reduces duplicate vendor outreach
Saves time during 1099 preparation
Improves vendor relationships
Streamlines multi-client vendor management
Use Case:
When preparing 1099s for Client B, you could see that Vendor X already submitted a W-9 for Client A, and either reuse it or know not to send another request.

I agree with this proposal—centralizing W-9 visibility across clients would be a huge efficiency boost and help avoid frustrating vendors with redundant requests. To build on it, I'd suggest adding a checkbox field for each client profile indicating whether they require our services to file their 1099s. This could then populate a dedicated table view (or dashboard) showing all clients we're handling 1099 filings for, making it easy to filter and manage at a glance.Additionally, a central client database would be invaluable, especially for scenarios where one client owns multiple companies. This could link related entities and further reduce duplicate W-9 requests by flagging shared vendors across the group. My top request: Streamline the end-of-year process by allowing batch exports of missing W-9 spreadsheets for all relevant clients at once, with pre-formatted templates and automated email drafting/sending. Currently, handling this individually for 64+ clients (exporting, formatting, crafting emails, and sending) is incredibly time-consuming and repetitive.

Yes to this! It would also help to see where the firm stands on 1099 readiness in one place, across all clients. Currently, we are downloading a file for each client and consolidating outside Double to gain this visibility.

I love this idea. This would be particularly useful for our clients who have multiple entities, too.
